Responding to an IRCC Request Letter
What is an IRCC request letter and why did I receive one?
IRCC may request additional information or documents to support your application for temporary residence, and to help them make a fair decision on your application.
Additional documents may be requested if IRCC requires updated documents, they need further clarification of information, or if they require additional information to address potential inadmissibility or concerns of the officer. In some cases, request letters may be sent to students to verify that they have been in compliance with their Study Permit conditions.
IRCC requests are often sent with a short deadline to respond, and it is important to provide all required documents within the time given. Failure to provide these documents to IRCC by the deadline may result in the refusal of your application.
You can see some examples of IRCC request letters here.
What are common IRCC requests?
Common IRCC requests for Study Permit or Study Permit Extension applications may include, but are not limited to:
- Updated financial documents
- Official transcripts
- Confirmation of enrollment
- Police clearance certificates
- Proof of relationship (if applying with family)
Even if these documents were submitted with your original application, it may be necessary to provide updated or additional supporting documentation to address any concerns the officer may have.
How do I respond to an IRCC request?
Upon receiving a request from IRCC, you must:
- Review the request letter carefully and understand what is being requested, the deadline given, and instructions for how to respond to the request.
- Collect all the requested documents and information. Keep in mind some documents, such as police clearance certificates or official transcripts, may take additional time to receive. Therefore, it is important to request these without delay, and keep screenshots of submission confirmation, emails, and receipts of such requests.
- If necessary, provide a clear and concise letter of explanation, with all supporting documents.
- Respond before the deadline indicated on the letter. Be aware that IRCC uses Coordinated Universal Time – UTC. This means that the deadline to respond may be earlier than midnight Edmonton time.
- Follow the instructions on the IRCC request letter to submit the necessary documents. This may mean submitting them through your IRCC Secure Account, through WebForm, or by email. Ensure you read and follow the instructions carefully.
What if I can’t respond by the deadline?
After submitting an application to IRCC, it is important to check your emails and IRCC Secure Account frequently to ensure any requests are received in a timely manner. There can be short deadlines to respond to requests; therefore, it is important that you make efforts to obtain the required information as quickly as possible.
In some cases, due to factors beyond your control, it may not be possible to obtain all the required documents by the deadline given. In these cases, it is important to submit a WebForm to IRCC before the deadline and request an extension to submit these documents.
When requesting an extension to the deadline, it is important to include all of the following information:
- Clear and concise explanation as to why you are unable to provide the requested information or documents within the time given, and when you expect receive them.
- Detailed timeline and explanation of the efforts you have made to attempt to obtain these documents.
- Documents, such as receipts, screenshots, or emails, that show the efforts you have made to obtain these documents.
Be aware that an extension to the deadline is not guaranteed and is at the discretion of the IRCC.
Failure to respond by the given deadline may result in the refusal of the application.
How can I avoid getting IRCC requests?
Although IRCC officers may request additional or updated documents to process your application at anytime, there are some things you can do to reduce the possibility of receiving one of these requests:
- Comply with all the conditions of your Study Permit.
- Proactively provide a Letter of Explanation in your immigration application to address any concerns that an IRCC officer could have. We strongly recommend attending one of our workshops to familiarize yourself with the types of scenarios where this might be required. Sign up for an upcoming information session here.
- Ensure all documents provided to IRCC are current and up to date.
- Submit a complete application. Be sure to use the resources on our webpage, along with your IRCC document checklist to check that all of your documents are complete and meet IRCC’s specific requirements.
